TABLE OF CONTENTS
1. WHAT INFORMATION DO WE COLLECT?
Personal information you disclose to us
In Short: We collect personal information that you provide to us.
We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.
Personal Information Provided by You. The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include the following:
- names
- email addresses
- usernames
- passwords
Sensitive Information. We do not ask you for sensitive information ourselves. An organizer can add questions to an event registration or to applications to join a session, and can mark some of them as sensitive, for example questions about health, access or dietary needs. Answering a sensitive question is always optional. The answers stay hidden until a reviewer chooses to view them. The organizer and people the organizer has allowed to see answers can view them, and so can the game master if the organizer lets game masters see that question. Overworld staff do not see sensitive answers to applications. We record each time a reviewer views a sensitive answer to an application, and each export that includes a sensitive question (the record never holds the answers). We delete answers as described under "HOW LONG DO WE KEEP YOUR INFORMATION?".
Social Media Login Data.We may provide you with the option to register with us using your existing social media account details, like your Google, Discord, Apple, or Microsoft account. If you choose to register in this way, we will collect certain profile information about you from the social media provider, as described in the section called "HOW DO WE HANDLE YOUR SOCIAL LOGINS?" below.
Patreon Account Data.Organizers can limit some events and sessions to members of their Patreon campaign. If you connect a Patreon account to Overworld, we receive information from Patreon to check whether you can register for those events and sessions. If you connect as a member, we receive your Patreon user ID and name and, for each campaign you belong to, your membership status, the amount your membership currently entitles you to, and your next charge date. If you connect as a creator, we receive your Patreon user ID, your campaign's name, web address, and tiers, and, for each member of your campaign, their Patreon user ID, membership status, currently entitled amount, next charge date, and last charge status, including the updates Patreon sends us when a membership changes. We do not request email addresses from Patreon. We store the access tokens Patreon gives us in encrypted form, and you can disconnect Patreon at any time in your Patreon settings on Overworld.
Payment Data. Payments are processed by Stripe. We do not receive or store your full card number. Stripe tells us the status and amount of your payments, refunds, and disputes, which we keep with your order.
Availability. You can choose to add the times you can usually play to your profile, as two separate weekly schedules: one for online play and one for in-person play. For each schedule we store the days and times you add, the time zone they are in, who you chose to share it with, and when you last changed it. Adding availability is optional.
Availability Polls.A game master or organizer can ask the players in their session or event which of several proposed times work for them. If you answer a poll, we store your answer for each time (yes, if need be, or no). If you choose to fill a poll from your availability, we compare the poll's times with your availability only to suggest answers to you; we do not store that comparison, and nobody else sees your availability through a poll. We use poll answers only to run the poll.
Safety preferences. If you choose, you can record safety preferences: topics you want kept out of games (lines) or kept off-screen (veils), up to five topics of your own, and an optional note. We use them only to show the game master of a session where you have a confirmed seat one combined, anonymous summary for the whole table, and only once at least three players have confirmed seats. Game masters, other players and organizers never see your preferences with your name on them, and Overworld staff have no way to view them in the app. The one exception is incident response: if we need to investigate or fix a security or technical incident, an authorized Overworld operator may access our database directly, which can include your stored preferences. Each such access requires a written reason and is recorded in our audit log. Your note and your own topics stay private unless you choose to share them anonymously. Topics already shown to a game master stay in that table's summary until the session ends, and summaries are deleted when the session ends or is cancelled. We store your preferences encrypted and keep them until you change or clear them or delete your account. Copies in our database backups are deleted within 30 days. Supabase (database) and Vercel (hosting) process this data for us; it is never sent to Sentry or Resend. You can see everything we store, and clear it in one step, on your Safety preferences page.
Player directory and game invites. You can choose to list yourself in our player directory by turning on "Looking for a game". It is off by default. Your listing shows the game systems and format you choose, and anything else you add: a general area you type yourself, game type, play styles, languages, platforms, player tags and, if you turn it on, a grid of your usual online availability. It also shows your time zone as a difference from the viewer's (for example "+3h from you"), never its name. Listings show your username and avatar, never your real name. Only signed-in members who have confirmed they are 18 or older can browse the directory. People you have blocked, and people who have blocked you, do not see your listing. We do not show listings to signed-out visitors or to search engines. While your listing is on, we record the date you were last active on Overworld. We use it only to remind you after 53 days without activity and to turn your listing off after 60 days. Nobody, including you, can see that date. Separately, you can allow game invites. This is also off by default, and you choose whether anyone or only your friends and people you have played with can invite you. A game master who invites you sees how their game fits your availability only if you turn that on in your invite settings. It is off by default.
Invites to private games. If you allow game invites, the host of a private online session can invite you to it from the player directory. A private session is one that only people the host invites can see. Before you accept, the invite shows only what any game invite shows: the session's name, time, format and game system, how its play styles compare with yours, the host's username and avatar, and the host's note. Accepting lets you see the session's page, as someone invited by email would: its description, time, game system, experience level and how many seats are taken. Accepting does not give you a seat, and it does not show you the other players or the connection details. You can see the page until the session starts or until you join it. The host sees that you accepted, by your username. A directory invite never shows the host your email address. Private game invites are on by default when you allow game invites, and you can turn off "Include private games" in your invite settings. Only you can see that setting. If you report an invite to a private game, we withdraw it, or end your access to the session's page if you had accepted but not yet joined. For 90 days afterwards, that host cannot invite you to any game. We do not tell the host that you reported the invite.
Applications to join a session.A game master can choose to review players before giving out seats at a public session they host. If you apply, we store your application: which session, when you applied, your answers to the session's registration questions, an optional message to the game master (up to 300 characters), the character you plan to bring if you pick one, and the application's status. Applying does not give you a seat. While your application is open and the session has not started, the game master, and anyone the organizer has allowed to manage attendees, can see it. They see your username and avatar (never your real name), your message, your planned character and your answers. Some questions are visible only to the organizer, and those answers are not shown to the game master. The organizer can mark some questions as sensitive. Answering those is always optional, and your answers to them stay hidden until the reviewer chooses to view them. We record each time they do. If your "Looking for a game" listing is on, the reviewer may also see a summary of it and how your play styles compare with the session, but only if the reviewer has confirmed they are 18 or older. If you are approved, you get a seat and your answers move to your registration for that session. You can withdraw an application while it is open. If you and the game master or the organizer have blocked each other, or if your account is suspended, they stop seeing your application. We email the game master when someone applies, with your username and the session name. We email you if you are not selected, if the application is closed (the session is cancelled, made invite only, or opened to everyone), and when you are approved. You can turn off the email to the game master, and the emails about not being selected or a closed application, with the Game invites email preference in your settings. The approval email is always sent. These emails and the matching in-app notices never include your message or your answers. A closed application stays closed. If a session that has already started is moved to a later time, applications that were open stay closed, and you can send a new one while the session is still upcoming and open to applications.
All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.
Information automatically collected
In Short: Some information, such as your Internet Protocol (IP) address and/or browser and device characteristics, is collected automatically when you visit our Services.
We automatically collect certain information when you visit, use, or navigate the Services. In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We process the personal information for the following purposes listed below. We may also process your information for other purposes only with your prior explicit consent.

- To show your availability and suggest sessions to you.If you add availability, we use it to show your schedules to the people you choose (see "WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?") and to suggest sessions and groups to you. We may use your availability for suggestions shown only to you, even when you have set it so that only you can see it. We do not use your availability to show you or recommend you to other people. If we ever offer that, it will be a separate setting that stays off unless you turn it on.
- To save or protect an individual's vital interest. We may process your information when necessary to save or protect an individual's vital interest, such as to prevent harm.
3. WHAT LEGAL BASES DO WE RELY ON TO PROCESS YOUR INFORMATION?
In Short: We only process your personal information when we believe it is necessary and we have a valid legal reason (i.e., legal basis) to do so under applicable law, like with your consent, to comply with laws, to provide you with services to enter into or fulfill our contractual obligations, to protect your rights, or to fulfill our legitimate business interests.
If you are located in the EU or UK, this section applies to you.
The General Data Protection Regulation (GDPR) and UK GDPR require us to explain the valid legal bases we rely on in order to process your personal information. As such, we may rely on the following legal bases to process your personal information:
- Consent. We may process your information if you have given us permission (i.e., consent) to use your personal information for a specific purpose. You can withdraw your consent at any time. Learn more about withdrawing your consent.
- Performance of a Contract. We may process your personal information when we believe it is necessary to fulfill our contractual obligations to you, including providing our Services or at your request prior to entering into a contract with you.
- Legal Obligations. We may process your information where we believe it is necessary for compliance with our legal obligations, such as to cooperate with a law enforcement body or regulatory agency, exercise or defend our legal rights, or disclose your information as evidence in litigation in which we are involved.
- Vital Interests. We may process your information where we believe it is necessary to protect your vital interests or the vital interests of a third party, such as situations involving potential threats to the safety of any person.
If you are located in Canada, this section applies to you.
We may process your information if you have given us specific permission (i.e., express consent) to use your personal information for a specific purpose, or in situations where your permission can be inferred (i.e., implied consent). You can withdraw your consent at any time.
In some exceptional cases, we may be legally permitted under applicable law to process your information without your consent, including, for example:
- If collection is clearly in the interests of an individual and consent cannot be obtained in a timely way
- For investigations and fraud detection and prevention
- For business transactions provided certain conditions are met
- If it is contained in a witness statement and the collection is necessary to assess, process, or settle an insurance claim
- For identifying injured, ill, or deceased persons and communicating with next of kin
- If we have reasonable grounds to believe an individual has been, is, or may be victim of financial abuse
- If it is reasonable to expect collection and use with consent would compromise the availability or the accuracy of the information and the collection is reasonable for purposes related to investigating a breach of an agreement or a contravention of the laws of Canada or a province
- If disclosure is required to comply with a subpoena, warrant, court order, or rules of the court relating to the production of records
- If it was produced by an individual in the course of their employment, business, or profession and the collection is consistent with the purposes for which the information was produced
- If the collection is solely for journalistic, artistic, or literary purposes
- If the information is publicly available and is specified by the regulations
- We may disclose de-identified information for approved research or statistics projects, subject to ethics oversight and confidentiality commitments
4. WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?
In Short: We may share information in specific situations described in this section and/or with the following third parties.
We may need to share your personal information in the following situations:
- Service Providers. We share personal information with service providers that process it on our behalf to operate the Services: Supabase (database, user accounts, and sign-in), Stripe (payment processing), Resend (email delivery), Sentry (error monitoring), and Vercel (website hosting and Vercel Web Analytics).
- Event Organizers. When you register for, buy a ticket to, or check in at an event or session, we share the information needed to run it with that event's organizers, such as your name or username and the details of your registration, order, and any refund. Payments for paid events are made to the organizer through the organizer's own Stripe account, so the organizer also receives your payment and transaction details through Stripe.
- Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
- Affiliates. We may share your information with our affiliates, in which case we will require those affiliates to honor this Privacy Notice. Affiliates include our parent company and any subsidiaries, joint venture partners, or other companies that we control or that are under common control with us.
- Your Availability. Each availability schedule starts out visible only to you, and you choose who can see each one. You can share your online schedule with your friends on Overworld, or with anyone who can see your profile, which means your friends plus anyone who has ever been registered at, or had a role on, an event with you, at any time and at any event size. Your in-person schedule can be shared only with your friends, because it can reveal your real-life routine. People you have blocked, and people who have blocked you, never see it. We do not show your availability to signed-out visitors or to search engines.
- Availability Polls. The people who manage a poll (the session's game master or the event's organizers) see each person's answers. Other people who can answer the same poll see how many people chose each answer and who chose it, by username. If you have blocked someone, or they have blocked you, they do not see your name on the poll, although your answers still count. Polls never show your real name or contact details, and people outside the session or event cannot see them.
- Invites to Private Games. When a host invites you to a private game from the player directory, we show you the details described under "Invites to private games" in "WHAT INFORMATION DO WE COLLECT?". If you accept, we tell the host, by your username. We never share your email address with the host through a directory invite. If you report an invite, Overworld staff can see the invite, whether it was to a private game, and that it was withdrawn because of your report.
- Applications to Join. When you apply to join a session, we share your application with the session's game master and with anyone the organizer has allowed to manage attendees, as described under "Applications to join a session" in "WHAT INFORMATION DO WE COLLECT?". Nobody else who uses Overworld sees it. If a reviewer reports an application, Overworld staff see a summary first (your username, the session and event, the status and the date you applied). They can then open the message, planned character and answers that are not sensitive, and we record each time they do. Staff never see your sensitive answers.
- Other Users. When you share personal information (for example, by posting comments, contributions, or other content to the Services) or otherwise interact with public areas of the Services, such personal information may be viewed by all users and may be publicly made available outside the Services in perpetuity. Other users will be able to view descriptions of your activity, communicate with you within our Services, and view your profile.
5. WHAT IS OUR STANCE ON THIRD-PARTY WEBSITES?
In Short: We are not responsible for the safety of any information that you share with third parties that we may link to, but are not affiliated with, our Services.
The Services may link to third-party websites, online services, or mobile applications that are not affiliated with us and which may link to other websites, services, or applications. Accordingly, we do not make any guarantee regarding any such third parties, and we will not be liable for any loss or damage caused by the use of such third-party websites, services, or applications. The inclusion of a link towards a third-party website, service, or application does not imply an endorsement by us. We cannot guarantee the safety and privacy of data you provide to any third-party websites. Any data collected by third parties is not covered by this Privacy Notice. We are not responsible for the content or privacy and security practices and policies of any third parties, including other websites, services, or applications that may be linked to or from the Services. You should review the policies of such third parties and contact them directly to respond to your questions.
6. DO WE USE COOKIES AND OTHER TRACKING TECHNOLOGIES?
In Short: We may use cookies and other tracking technologies to collect and store your information.
We may use cookies and similar tracking technologies (like web beacons and pixels) to gather information when you interact with our Services. Some online tracking technologies help us maintain the security of our Services and your account, prevent crashes, fix bugs, save your preferences, and assist with basic site functions.
We also permit our service provider Vercel to collect analytics on our Services, as described under "Vercel Web Analytics" below. We do not permit third parties to use online tracking technologies on our Services for advertising.
To the extent these online tracking technologies are deemed to be a "sale"/"sharing" (which includes targeted advertising, as defined under the applicable laws) under applicable US state laws, you can opt out of these online tracking technologies by submitting a request as described below under section "DO UNITED STATES RESIDENTS HAVE SPECIFIC PRIVACY RIGHTS?"
The only cookies we set are the ones that keep you signed in to your account, which are used by our authentication provider, Supabase. We also use your browser's local storage and session storage to remember a few things on your device, such as which announcements and notices you have dismissed, and whether a visit to an event page has already been counted during your current browser session. We do not use cookies for analytics or advertising.
Vercel Web Analytics
We use Vercel Web Analytics, provided by our hosting provider Vercel, to understand how the Services are used. It records the pages you visit and a limited set of actions you take in the Services, together with the referring page and general information about your browser, operating system, device type, and country. Vercel Web Analytics does not use cookies and does not store a persistent identifier on your device. We do not include your name, email address, or payment information in the analytics data we send, and we do not use Vercel Web Analytics for advertising.
7. HOW DO WE HANDLE YOUR SOCIAL LOGINS?
In Short: If you choose to register or log in to our Services using a social media account, we may have access to certain information about you.
Our Services offer you the ability to register and log in using your third-party social media account details (your Google, Discord, Apple, or Microsoft login). Where you choose to do this, we will receive certain profile information about you from your social media provider. The profile information we receive may vary depending on the social media provider concerned, but is limited to basic profile details: your name or username, email address, and profile picture. We do not request your friends list or contacts.
We will use the information we receive only for the purposes that are described in this Privacy Notice or that are otherwise made clear to you on the relevant Services. Please note that we do not control, and are not responsible for, other uses of your personal information by your third-party social media provider. We recommend that you review their privacy notice to understand how they collect, use, and share your personal information, and how you can set your privacy preferences on their sites and apps.
8. HOW LONG DO WE KEEP YOUR INFORMATION?
In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this Privacy Notice unless otherwise required by law.
We will only keep your personal information for as long as it is necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). No purpose in this notice will require us keeping your personal information for longer than the period of time in which users have an account with us, except financial and transaction records, which we keep for 7 years after the end of the tax year of the transaction, or longer while a legal hold applies, such as for a dispute, audit, or litigation.
We keep the availability you add until you change or clear it, or until your account is deleted. When your account is deleted, we delete your availability.
We delete a poll, its times and its answers 90 days after the later of the poll closing and its session or event ending, or 30 days after its session or event is deleted. When your account is deleted, we delete your poll answers. A poll you created stays with its session or event, without your name.
We keep safety preferences and table safety summaries as described under "Safety preferences" in "WHAT INFORMATION DO WE COLLECT?".
We keep your directory listing and invite settings until you change them or your account is deleted. Turning your listing off hides it but keeps what you entered until you clear it. When your account is deleted, we delete your listing, your settings, and every game invite you sent or received. We keep a record of invites you reported for as long as we keep the invite, so we can stop the same host from inviting you for 90 days.
We delete the message, planned character and answers of an application that was not approved about 30 days after its session ends. For an approved application we delete the message on the same schedule. Your answers move to your registration when you are approved, and we delete them 90 days after the event ends. An approved application keeps the link to your planned character. If the event is deleted, we delete these sooner. We keep the rest of the application record (the session, the status, the dates and who decided) until your account, the session or the event is deleted. It no longer holds your message or answers. When your account is deleted, we delete every application you made, and we remove your name from applications you approved or turned down as a game master.
When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.
9. HOW DO WE KEEP YOUR INFORMATION SAFE?
In Short: We aim to protect your personal information through a system of organizational and technical security measures.
We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.
10. DO WE COLLECT INFORMATION FROM MINORS?
In Short: We do not knowingly collect data from or market to children under 18 years of age or the equivalent age as specified by law in your jurisdiction.
We do not knowingly collect, solicit data from, or market to children under 18 years of age or the equivalent age as specified by law in your jurisdiction, nor do we knowingly sell such personal information. By using the Services, you represent that you are at least 18 or the equivalent age as specified by law in your jurisdiction or that you are the parent or guardian of such a minor and consent to such minor dependent's use of the Services. If we learn that personal information from users less than 18 years of age or the equivalent age as specified by law in your jurisdiction has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. If you become aware of any data we may have collected from children under age 18 or the equivalent age as specified by law in your jurisdiction, please contact us at admin@overworld.gg.
11. WHAT ARE YOUR PRIVACY RIGHTS?
In Short: Depending on your state of residence in the US or in some regions, such as the European Economic Area (EEA), United Kingdom (UK), Switzerland, and Canada, you have rights that allow you greater access to and control over your personal information. You may review, change, or terminate your account at any time, depending on your country, province, or state of residence.
In some regions (like the EEA, UK, Switzerland, and Canada), you have certain rights under applicable data protection laws. These may include the right (i) to request access and obtain a copy of your personal information, (ii) to request rectification or erasure; (iii) to restrict the processing of your personal information; (iv) if applicable, to data portability; and (v) not to be subject to automated decision-making. If a decision that produces legal or similarly significant effects is made solely by automated means, we will inform you, explain the main factors, and offer a simple way to request human review. In certain circumstances, you may also have the right to object to the processing of your personal information. You can make such a request by contacting us by using the contact details provided in the section "HOW CAN YOU CONTACT US ABOUT THIS NOTICE?" below.
We will consider and act upon any request in accordance with applicable data protection laws.
If you are located in the EEA or UK and you believe we are unlawfully processing your personal information, you also have the right to complain to your Member State data protection authority or UK data protection authority.
If you are located in Switzerland, you may contact the Federal Data Protection and Information Commissioner.
Withdrawing your consent:If we are relying on your consent to process your personal information, which may be express and/or implied consent depending on the applicable law, you have the right to withdraw your consent at any time. You can withdraw your consent at any time by contacting us by using the contact details provided in the section "HOW CAN YOU CONTACT US ABOUT THIS NOTICE?" below or updating your preferences.
However, please note that this will not affect the lawfulness of the processing before its withdrawal nor, when applicable law allows, will it affect the processing of your personal information conducted in reliance on lawful processing grounds other than consent.
Opting out of marketing and promotional communications:You can unsubscribe from our marketing and promotional communications at any time by clicking on the unsubscribe link in the emails that we send, or by contacting us using the details provided in the section "HOW CAN YOU CONTACT US ABOUT THIS NOTICE?" below. You will then be removed from the marketing lists. However, we may still communicate with you, for example, to send you service-related messages that are necessary for the administration and use of your account, to respond to service requests, or for other non-marketing purposes.
Account Information
If you would at any time like to review or change the information in your account or terminate your account, you can:

12. CONTROLS FOR DO-NOT-TRACK FEATURES
Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Notice.
California law requires us to let you know how we respond to web browser DNT signals. Because there currently is not an industry or legal standard for recognizing or honoring DNT signals, we do not respond to them at this time.
Global Privacy Control: We recognize and honor Global Privacy Control (GPC) signals. If you use a browser or extension that supports GPC, we will treat this as a valid request to opt out of the sale or sharing of your personal information for targeted advertising purposes under applicable state privacy laws, including the California Consumer Privacy Act (CCPA). When we detect a GPC signal from your browser, we will automatically apply your opt-out preference without requiring you to take any additional action. For more information about GPC and how to enable it, visit globalprivacycontrol.org.
